Effective September 22, 2026. This policy explains how information submitted through the 2026 awards voting site is handled.
Information we collect
When you sign up, we collect your name, cell number, email address, and the artist you identify as referring you or whom you came to support. Your mailing address is optional. If you cast a ballot, we record your category selections. We also retain your registration time. The site also uses a one-way hash derived from your connection’s IP address to help enforce voting and referral limits; the ballot database does not store the plain IP address for that check.
How we use it
We use registration details to administer the awards, limit duplicate participation, count artist referrals, and address voting questions. Category votes are counted to determine award results. The artist you name during sign-up receives referral credit separately from your ballot. We do not publish voter names, cell numbers, email addresses, mailing addresses, or individual ballot choices.
Who can access it
Access to voter records and exports is restricted to authorized WVIU awards administration. After voting closes, the administrator can download a CSV of registrations and results. The website’s hosting services process information needed to operate and secure the site. WVIU does not sell the voter contact list or use this sign-up as consent to receive unrelated marketing messages.
Cookies and retention
A necessary, secure browser cookie lets a registered voter reach their ballot; an administrator’s login uses a separate secure cookie. The site keeps records to complete the 2026 awards, review voting integrity, and maintain related administrative records. Contact WVIU if you have a question about your information or wish to request its removal; some records may need to be kept to preserve accurate results or resolve a dispute.
